TERMS & CONDITIONS – Cruise & large groups

1. Company Information & Licensing

Backcountry  Greenland ApS operates under the Greenlandic Tourism Provider License No. 2025-002 and is a registered company in Greenland.

2. Insurance

Backcountry Greenland ApS holds product liability insurance through CODAN Insurance, covering liability for services provided. However, this does not cover participants’ personal belongings. If personal belongings are damaged or lost during an excursion, it is at the participant’s own expense or covered by their own insurance policy.

We strongly recommend that participants obtain comprehensive travel insurance, covering cancellations, lost belongings, medical emergencies, and unforeseen circumstances, before departing from their home country.

3. Reservations & Payment

Reservations are only confirmed once full payment has been received, unless other arrangements have been made in writing with Backcountry Greenland ApS.

  • Payment for excursions and services is due 7 days before port arrival.
  • For last-minute bookings (within 24 hours of arrival), payment must be made before service is provided.
  • No services will be provided without full payment in advance.

4. Cancellations by Backcountry Greenland ApS

Backcountry Greenland ApS reserves the right to cancel excursions in the following situations:

  • Too few participants
  • Poor ice or weather conditions
  • Technical issues with boats or helicopters
  • Search and Rescue operations affecting logistics

The captain (for boat excursions) or Backcountry Greenland ApS will decide if conditions are suitable for the excursion, not the customer.

Refunds & Adjustments:

  • If an excursion is canceled by Backcountry Greenland ApS for the above reasons, customers will receive a full refund, including fees paid.
  • If multiple excursions are booked and one affects the schedule of another, we will attempt to adjust the itinerary at no extra cost. If necessary, we will refund affected excursions booked through Backcountry Greenland ApS, but we do not take responsibility for third-party services

 

5. Prioritization in Case of Limited Availability

If an excursion has limited availability due to cancellations, weather, or logistics, Backcountry Greenland ApS reserves the right to prioritize participants based on internal considerations rather than first-come, first-served

6. Shortened Excursions & Route Changes

Excursions may be shortened or altered due to:

  • Weather conditions (fog, ice, snow, or wind).
  • Trail conditions affecting hiking routes.
  • Safety concerns.
  • For boat excursions, route or duration changes are decided by the captain. If sailing time is reduced by more than 25%, customers will be refunded for the lost minutes, excluding intro time and land-based experiences.
  • For hiking excursions, no refunds are given if the guide determines that the planned route cannot be completed due to weather or safety concerns.

7. Customer Cancellations, Changes & Transfer of Reservations

Once an excursion is paid and confirmed, customers cannot cancel, modify, or transfer the ticket to another person.

If delays or travel disruptions prevent a participant from joining their booked excursion, they must notify Backcountry Greenland ApS immediately. We will attempt to reschedule, but there is no guarantee that this will be possible.

8. Minimum Participants Requirement

Certain excursions require a minimum number of participants to operate. If the minimum is not met, Backcountry Greenland ApS may cancel the excursion up to one hour before departure. If possible, we will offer an alternative tour. If no alternative is available, a full refund will be issued.

Customers cannot claim compensation beyond the refunded excursion price.

9. Price Changes After Reservation

Prices are set at the time of reservation, but Backcountry Greenland ApS reserves the right to adjust prices due to:

  • Increased fuel costs or transport fees
  • Government-imposed taxes, duties, or service charges
  • Foreign exchange rate fluctuations

Such changes are rare, and customers will be notified as soon as possible.

10. Complaints & Dispute Resolution

Complaints must be reported immediately during the excursion so the issue can be resolved on-site. If the complaint cannot be resolved, a written complaint must be submitted within 14 days after the excursion.

All disputes will be handled under Greenlandic law, and any legal claims must be settled within the Greenlandic judicial system.

11. No Right to Withdraw

Participants do not have a right to withdraw from purchased excursions. This is in accordance with regulations on accommodation, transport, and recreational activities, which are bound by the agreed-upon date or period of service.

Some excursions have minimum and maximum participant requirements, as well as specific deadlines for group size confirmation:
